The website includes contact forms through which users can send their contact details and comments. Personal information communicated by the user to Europa Cinemas during these interactions is not collected for commercial purposes but to be able to make contact with the user, primarily if the law should require this. Europa Cinemas may communicate information sent by the user to a third party which could be considered a breach of privacy or intellectual property. Information sent "to the website" (by post, email or any other medium) cannot be considered confidential.

EUROVOD is the only addressee for any information sent "to the website". In accordance with the law of 06/01/1978, any Internet user has the right to access, modify and dispute any information concerning him/her. He/she may exercise this right at any given moment by contacting EUROVOD .

Privacy Policy

1. INTRODUCTION

EUROVOD ("EUROVOD" and/or "We") are committed to protecting and respecting your privacy and take this responsibility regarding the security of customer information very seriously. We will be clear and transparent about the information We are collecting and what We will do with that information.

This Privacy Policy applies when you (“you”, “User” or “EUROVOD Network User”) access, log-in to the EUROVOD website. For the purposes of this Privacy Policy, a “User” is a person who takes part in one of the European VOD Meetings workshop as a participant or as a trainer, EUROVOD member and receives access to the EUROVOD Restricted Resource Area via an online profile.

 

2. AGREEMENT TO TERMS OF PRIVACY POLICY

By applying and upon selection to one of the EUROVOD training programmes, or by appointment as a trainer for one of our workshops, as an EUROVOD board or team member, you expressly acknowledge our collection, use, disclosure and retention of your information as described in this Privacy Policy.

This Privacy Policy (the "Policy"), together with any other documents referred to on it, set out the basis on which any personal data We collect from you, or that you provide to us, will be processed by us. The Policy will cover the following areas:

What personal data We collect and process about you in connection with your relationship with us as a customer and through your use of our website, mobile applications and online services;

  • Where We obtain the data from;

  • What We do with that data;

  • How We store the data;

  • Who We transfer/disclose that data to;

  • How We deal with your data protection rights;

For the purpose the General Data Protection Regulation (GDPR) (collectively the "Act"), the data controller is EUROVOD, 47 rue de Paradis, Paris, France.

We have also appointed a Data Protection Officer ("DPO") to oversee compliance with this Policy. If you have any questions about this Policy or how We handle your personal information, please contact the DPO at eu.admin@eurovod.org. You have the right to make a complaint at any time to the supervisory authority.

 

4. INFORMATION WE MAY COLLECT FROM YOU

We may collect and process the following data about you:

4.1 Information you give us.  The information you give us may include your name, address, e-mail address and phone number, personal description and photograph, or any amount of other information in relation to your professional background.

  • Registration information: information you provide to us when you apply for one of the EUROVOD workshops (the European VOD Meetings) on our site www.eurovod.org, after being contracted as a trainer for one of EUROVOD`s workshops, or after being accepted as EUROVOD member (after filling-in the membership form).

  • corresponding with us by phone, e-mail

  • Registration to our newsletter: information you provide by subscribing to our mailing list, to get news and updates from EUROVOD, through Mailchimp.

4.2 Information We collect about you. With regard to each of your visits to our Site We may automatically collect the following information:

  1. technical information, including the Internet protocol (IP) address used to connect your computer to the Internet, your login information, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform;

  2. Information we may collect in relation to social networks. If you use any of our social network applications, pages or plugins or you use one of our products or services that allow interaction with social networks, We may receive information relating to your social network accounts. For instance:

  • If you 'like', '+1' or similar one of our pages on a social network site, We may receive information about your social network profile, depending on your social network account privacy settings

  • For more information and for details about how you can control access to your social network profile, you should view the privacy policy and other guidance available on your social network's website.

 

5. USES MADE OF THE INFORMATION

We use information held about you in the following ways:

5.1 Information you give to us. We will use this information:

  • to carry out our obligations arising from any contracts entered into between you and us and to provide you with the information, products and services that you request from us;

  • to provide you with information about other services We offer that are similar to those that you have already purchased or enquired about;

  • to send our EUROVOD Newsletters by email and similar means of electronic communication as part of providing relevant content for our network. EUROVOD Mailing List Subscriber have the possibility to unsubscribe from such communication at any time.

5.2 Information We collect about you. We will use this information:

  • to improve our site to ensure that content is presented in the most effective manner for you and for your computer;

  • to allow you to participate in interactive features of our service, when you choose to do so;

  • We will only process your personal data where we have a legal basis to do so. The legal basis will depend on the reasons We have collected and need to use your personal data for. We will not retain your data for longer than is necessary to fulfil the purpose it is being processed for. To determine the appropriate retention period, We consider the amount, nature and sensitivity of the personal data, the purposes for which We process it and whether We can achieve those purposes through other means.

Access to the data made by natural persons who render their services to EUROVOD, acting within the organizational framework, is authorized. In addition, access to the data is granted to companies and professionals that the Data Processor has hired in their internal organizational framework in order to provide general or maintenance services (computer services, consulting, audits, etc.).

We may share your information with selected third parties including:

  • Business partners, suppliers and sub-contractors for the performance of any contract We enter into with them or you.

  • Analytics and search engine providers that assist us in the improvement and optimisation of our site.

  • Legal and other professional advisers, law courts and law enforcement bodies in all countries We operate in in order to enforce our legal rights in relation to our contract with you;

  • Social media: You may be able to access third party social media services through our website or App or before coming to our website or App. When you are registered with your social service account, We will obtain the personal information you choose to share with us through these social media services pursuant to their privacy settings in order to improve and personalize your use of our website or App. We may also use social media plugins on our website or App. As a result your information will be shared with your social media provider and possibly presented on your social media profile to be shared with others in your network. Please refer to the privacy policy of these third-party social media providers to find out more about these practices.

We may disclose your personal information to third parties:

  • We do not sell your profile data to third parties. We share your status of “EUROVOD Member”, EUROVOD Trainer”, EUROVOD Trainee”, EUROVOD Board Member”, EUROVOD Team Member” with other industry actors (markets and festivals, national film agencies, Creative Europe etc.) who help us to provide our services to you, in which case those third parties are required to comply with our privacy policy and any other adequate technical and organizational measures to keep your information confidential and to use it only for the purpose of providing their services to your benefit and pursuant to the applicable privacy legislation in the EU.

  • EUROVOD is based in the EU and complies with the GDPR framework as set forth by the EU regarding the collection, use, and retention of personal data from EU member countries. If you are located outside the EU and choose to use the Service or provide your information to us, please note that your information may be transferred, processed and stored by our service providers in other non-EU countries. Privacy laws of the European Union and third countries may not be as protective as those in your jurisdiction.

  • Your data is not disclosed to any third party except (I) for reporting purposes to EUROVOD financiers, such as the European Commission, etc., (II) providing access to the restricted resource area, and for which EUROVOD collaborates with third parties, (III) the online EUROVOD database with contact information of EUROVOD participants, which is closed to the public and only accessible to EUROVOD Network Users after logging in, for which EUROVOD collaborates with third parties, (IV) when we have your permission, (V) when it is required by a competent authority in the exercise of its duties (for example in order to investigate, prevent or take action regarding illegal activities) or (VI) as otherwise required by law.

  • EUROVOD Network User names; company name; position in the company; website; and for EUROVOD trainees and trainers, the year and EUROVOD workshop in which they have participated in, are visible to the public.

  • We do not use your contact data other than as described in this Privacy Policy.

  • b) The EUROVOD online database profile gives access to the EUROVOD restricted resource area.

  • d) Contact information, project information, track record and statistical information among other, are disclosed as part of reports to EUROVOD `s main financiers such as, but not necessarily limited to, the European Commission.

 

7. SECURITY OF YOUR PERSONAL DATA

We follow strict security procedures in the storage and disclosure of your personal data, and to protect it against accidental loss, destruction or damage.

We may disclose your information to trusted third parties for the purposes set out in this Policy. We require all third parties to have appropriate technical and operational security measures in place to protect your personal data, in line with France and EU law on data protection rules. While countries outside the EEA do not always have strong data protection laws, We require all services providers to process your information in a secure manner and in accordance with France and EU law on data protection. We utilise standard means under EU law to legitimise data transfers outside the EU.

10. YOUR DATA PROTECTION RIGHTS

You can exercise your right to prevent such processing by checking certain boxes on the forms We use to collect your data. Our site may, from time to time, contain links to and from the websites of our partner networks, advertisers and affiliates. If you follow a link to any of these websites, please note that these websites have their own privacy policies and that We do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites.

You may delete your EUROVOD contact from our database by contacting eu.admin@eurovod.org and you may opt out of receiving any newsletters from EUROVOD at any time by unsubscribing from this services via the unsubscribe link at the bottom of all EUROVOD newsletter or by contacting eu.admin@eurovod.org. Deleting your EUROVOD registration will cause all the contact data in the account to be permanently deleted from our systems within a reasonable time period, as permitted by law and will disable your access to any other services that require an EUROVOD account. We will respond to any such request, and any appropriate request to access, correct, update or delete your personal information within the time period specified by law (if applicable) or without excessive delay. We will promptly fulfil requests to delete personal data unless the request is not technically feasible or such data is required to be retained by law (in which case we will block access to such data, if required by law).

Under certain circumstances, by law you have the right to:

  • Request information about whether We hold personal information about you, and, if so, what that information is and why We are holding/using it.

  • Request access to your personal information (commonly known as a "data subject access request"). This enables you to receive a copy of the personal information We hold about you and to check that We are lawfully processing it.

Your use of EUROVOD, and any disputes arising from it, is subject to this Policy and all of its dispute resolution provisions including arbitration, limitation on damages and choice of law. We reserve the right to change our Policy at any time. Non-material changes and clarifications will take effect immediately, and material changes will take effect within thirty (30) days of their posting on this site. If We make changes, We will post them and will indicate at the top of this page the Policy's new effective date. If We make material changes to this Policy, We will notify you here, by email, or through notice on our home page.
